Pillar 2: Support the way your business prices projects

When to move your estimator from Excel to a web app

The signals that point beyond a spreadsheet — and why many businesses should stay in Excel.

Excel remains the right place for many estimators. The question is not whether Excel is old. It is whether one file can still carry the rates, the people and the revision history the business needs.

Stay in Excel when the logic is the asset

If one or two estimators price from a workbook that already matches how the business wins work, start there. Lock the formulas, put rates in one library, and keep the quote output inside the file they already trust.

Move when the file is the bottleneck

Several people pricing at once, site teams who need the quoted scope, or a rate change that has to land in every open job: those are the points where a web app or a hybrid earns its place. The pricing logic moves with you. The estimators should not have to relearn the job.
